Business profiles and public information

Business names, descriptions, contact details, categories, images and other approved listing information can appear publicly. Information submitted for a profile may be reviewed before publication. Only submit information you are authorized to share. Public information can be accessed by visitors and indexed by search engines.

Accounts and administration

When you create an account, claim a business or accept an invitation, we process account identifiers, contact details, login and verification information, and the information you submit. We use it to provide account access, verify authority, administer listings, support members and protect the service. Authorized staff and permitted profile editors can access information needed for their responsibilities. We also retain administrator decisions about fee waivers, client permission exceptions, editing restrictions, account suspensions and grace extensions, including internal reasons, account and listing identifiers, dates and audit history. These administration records are not public profile fields.

Cookies, browser storage and technical records

WordPress uses cookies for functions such as authentication and session management. Directory features may use browser storage to remember saved businesses, comparisons or interface choices. Profile editors also save unfinished profile text and Page Studio content and layouts on your device for recovery. Profile-form recovery expires after 24 hours and Page Studio recovery after seven days; expired records are removed when the respective editor next runs, not while the site is closed. You can clear these copies through your browser’s site-data controls. Private drafts saved to your account are stored on the server separately from published profile information. Avoid shared devices for private edits. Security and operational records may include request details, timestamps and account or network identifiers. Browser controls can restrict storage, which may affect these functions. Additional site-specific tracking and storage practices are described below.

Optional setup assistance

Invitation emails may include an optional Sanctus Solutions setup offer for contacts with recorded marketing consent. Marketing preferences and suppression records are checked before including the offer. Its unsubscribe link lets recipients stop marketing without cancelling membership or essential account communications. Following the booking link opens an external Sanctus Solutions service; information you submit there is handled under that service’s privacy policy. Booking a call does not give access to private account data or connected API credentials; any access needed for agreed work must be separately authorized.

Payments and membership records

When you purchase a paid membership, ticket or other service, payment providers process payment details under their own policies. This site uses membership, transaction and payment-status records to administer purchases, renewals, support and accounting. The providers and relevant processing practices are identified below.

Inquiries and business communications

Spam phrase filters may check inquiry names, email addresses and messages before accepting a submission. A blocked message is not saved as a lead or sent to the business by this form. Contact forms and inquiries can include your name, contact details and message. Reviews can be held for moderation; approved review information may appear publicly. We use this information to route and respond to requests and, where enabled, track follow-up. Messages intended for a listed business may be shared with that business. Do not include unnecessary sensitive information.

Marketing communications

When marketing communications are enabled, we process subscription preferences and communication activity to manage newsletters and other marketing messages. You can use the unsubscribe or preference controls provided in those messages. Operational messages about accounts, requests and transactions are handled separately.

Directory activity and analytics

When enabled, directory analytics records first-party aggregate counts such as profile views, searches, clicks and membership interactions. Reports can group counts by day, listing, category, tier, content section or broad traffic source. The directory analytics store does not retain raw search text or individual visitor identities. Separate security records can contain account or listing identifiers, timestamps, sanitized context and keyed identifiers derived from network addresses. Additional tracking by hosting, other plugins or connected services is described in the applicable service notices.

Events and registrations

Event participation may involve attendee contact information, registration choices, ticket/payment status and check-in records. Relevant information is used by authorized organizers and service providers to administer the event.

Location features

If you choose nearby search, coordinates you enter or allow your browser to share are sent to this website to calculate results. The directory uses those visitor coordinates for the current search and does not save them as a location history. Business addresses and coordinates are stored separately and may be displayed at their configured public precision. External map providers process information separately when you load their services.

Embedded and external content

Maps, videos, media and other embedded content can communicate with the external provider when loaded. That provider may receive technical information or use its own cookies. External links take you to services governed by their own policies.

Connected services

Enabled integrations may transfer relevant business, contact, event, communication or transaction information to connected services for the purposes described below. Access to connected services is limited according to the site’s configuration and administrative permissions.

Service providers and processing locations

Hosting and website service providers process information needed to operate, maintain and protect this website. Email delivery services receive recipient addresses and message information needed to deliver account notices, invitations and requested communications. Authorized staff and service providers receive access appropriate to their work.

The site is configured to use SMTP2GO for system invitation email.

Where Stripe checkout is used, Stripe receives the information needed to process payment and manage the payment relationship. We receive payment references, membership and transaction status, and related billing information needed for administration, support and accounting. Information you provide directly to a payment provider is also subject to its own privacy policy.

An inquiry addressed to a listed business is shared with that business and its authorized communication services so it can respond. The receiving business is responsible for its own subsequent use of the information.

Enabled business connections can deliver relevant contact, message, listing, event or transaction information to authorized email, automation, calendar, CRM or accounting services. The information transferred depends on the connection and the requested task.

If you follow the optional Sanctus Solutions booking link, information you provide to that separate service is handled under its privacy policy. The booking link does not itself give Sanctus Solutions access to private account information or API credentials.

External providers may process information in the locations where they operate. Contact us for information about the providers used for a particular service. We do not represent that all processing is confined to Texas or the United States.

Directory storage and deletion controls

Private directory records can include account and ownership history, invitations, unpublished edits, moderation decisions, inquiry and review submissions, consent and unsubscribe records, integration delivery queues and security audit records. System SMTP and per-business SMTP/webhook credentials are stored encrypted for authorized connections; the connected providers receive the data required to deliver the requested service. WordPress privacy tools support export and deletion for several directory record types, but requests can require staff review for remaining records and legal retention. Uploaded images and any metadata embedded in the original files are stored with the media. Files may remain reachable by their URL, including before a profile is approved; remove private photo metadata before uploading and do not upload confidential images. Security audit history, account and profile records and financial records do not all have automatic deletion. Suppression records may be retained to respect opt-outs. Scheduled deletion depends on the site’s maintenance jobs running; deletion from this site does not delete delivered email, external-provider records, caches or backups. Email delivery diagnostics

We keep an administrator-only email submission log to troubleshoot account notices, invitations and other website email. It records the submission time, sending service, masked sender and recipient addresses (the domain remains visible), acceptance or failure, and limited SMTP status codes and diagnostic categories. This log does not store email subjects, message bodies, attachments, passwords, invitation links or raw SMTP transcripts. Records are eligible for deletion after 30 days and the log is limited to the newest 5,000 entries. Cleanup runs through scheduled maintenance and new sends; administrators can clear the log sooner. A sending service accepting a message does not confirm inbox delivery. Email providers process the addresses and message content required to send email and may retain separate delivery, bounce or rejection records under their own policies.

Retention and deletion

We retain account, profile and membership information while needed to provide the service and administer the relationship. We also consider the purpose of the record, the status of a request or transaction, security needs, dispute resolution, accounting obligations and applicable legal requirements. Public listing information and approved review content may remain available until changed or removed.

Private inquiry and review-submission records, eligible communication records, and technical delivery records become eligible for scheduled cleanup under their respective configured retention periods. Records that are still being processed, records subject to a legal hold and suppression information needed to respect communication preferences may be retained longer. Some account, administrative and security records do not have automatic expiration.

Billing-contact details can be anonymized after the applicable retention period, unless a legal hold applies. Financial transaction and accounting records can remain after those contact details are removed. Cancelling a membership does not immediately erase transaction records.

Detailed aggregate reporting records can be removed after their reporting window, while summary and lifetime counts remain. These counts are separate from account and security records.

Cleanup depends on scheduled maintenance running. Deletion from this website does not automatically remove information already delivered to a business or external provider, or independent copies in email, caches or backups. Privacy requests and your rights

You may contact us to request access to, correction of, or deletion of your personal information, or an available copy of it. Depending on the law that applies, additional rights and exceptions may apply. We may request information reasonably needed to verify your identity and authority before disclosing or changing private records. Please identify the information or account involved and the action you are requesting; do not send passwords, API secrets or unnecessary identity documents. You do not need to create a new account to make a request.

An authorized agent may use these contact methods and should identify the person represented and provide appropriate evidence of authority. We may need to verify the request with that person. If a request cannot be fulfilled in full, we will explain the applicable reason and any available appeal process. Requests involving copies held by another business or provider may also need to be directed to that recipient.

Other businesses and external websites have their own data practices. Following an external link does not give that service permission to access a private account on this website.

The directory's built-in interactive Google map waits until you choose to load it. Other external content may use different loading behavior.

Use the unsubscribe or preference controls in marketing messages to change your choices. Essential account, security and transaction messages are handled separately. Marketing opt-outs do not cancel a membership or an existing payment obligation.

Browser controls can limit cookies or clear stored site data, although this may affect sign-in and saved preferences. Protection and required disclosures

These descriptions do not establish the practices of external services or other website software. To exercise an applicable right to opt out of a sale, targeted advertising or profiling used for legally or similarly significant decisions, use the request methods below. We will assess the request against the processing involved and applicable law.

Sensitive information and children

Use ordinary account, business-profile and inquiry fields only for information appropriate to their purpose. Do not include government identification numbers, medical information, biometric identifiers, passwords, API credentials or other unnecessary sensitive information in a public profile or general message. Connection credentials belong only in the designated private integration settings.

To appeal a decision on a privacy request, use the same contact methods and identify your original request and why you believe the decision should be reconsidered. For email appeals, use the subject Texas privacy appeal. The directory does not automatically apply browser privacy signals across connected services. Texas response times and appeals

For requests covered by the Act, we respond without undue delay and within 45 days of receipt. When reasonably necessary, we may extend that period once by another 45 days, notifying you within the first period and explaining why. Responses are free at least twice each year, subject to the Act’s rules for manifestly unfounded, excessive or repetitive requests. If we decline a request, we explain the reason and how to appeal. Submit an appeal through the methods above or email the privacy contact with the subject “Texas privacy appeal.” We provide a written appeal decision and reasons within 60 days. If an appeal is denied, we provide the Texas Attorney General’s online complaint mechanism.
